Introduction
We only accept notarised/certified copies of official documents – this includes bank documents. In Australia, copies must be certified by a Justice of the Peace or Registered Migration Agent or a person before whom a Statutory Declaration can be made under the Statutory Declarations Act 1959 as a true copy of the original. In Mongolia, copies must be notarised by a Public Notary.
• Original notarised copies of documents are required for visa applications. Photocopies of a notarised certificate are not acceptable.
• Mongolian language documents must be accompanied by English translations. In Mongolia, translations must be performed and notarised by a Public Notary.
What is a Public Notary?
There are approximately 25 Public Notaries across Mongolia that generally operate as part of the local aimag administrations. A Public Notary’s roles include:
• Notarising the authenticity of signatures, translations, copies of certificates, and photocopies with originals; and
• Notarising facts that amount to civil legal acts such as birth, death, marriage, divorce, kinship, identity and qualifications, and the issuing of the relevant Notarial Certificate - including “Certificates of No Criminal Conviction”.
We reserve the right to verify any documents lodged with your application with a document issuing authority, a relevant third party, or via document examination techniques. Applications containing false or misleading information will most likely be refused. We expect you to advise us of any changes to the information you have provided as soon as the change happens.
Please note: This is a guide only. Further information and/or documents may be requested during the processing of your application to assist our assessment. Please contact us should you have any questions about any of the listed documentary requirements.
Application Forms and Fee
• Form 456 Application For A Business (Short Stay) Visa – completed in English and signed by you;
• Form 54 - Family Composition completed in English and signed by you;
• A valid passport. All passports submitted to us must be signed by the bearer;
• One recent passport size photograph of each applicant;
• If you would like to authorise another person to receive information about your application on your behalf, please submit Form 956 - Appointment of a migration agent or exempt agent or other authorised recipient, completed in English and signed by you.
Supporting Documents
• A letter of invitation from the inviting organisation in Australia. This may include information concerning the purpose of the visit and previous business dealings with the applicants.
• A detailed itinerary including contact details of Australian companies or organisations you will be visiting.
• A letter from your employer authorising your visit, signed by a senior manager. This letter should include reasons for the visit, details of all people travelling in the group, their positions of employment and the role each member will play in the visit. This letter should also confirm whether your company is funding the trip.
• Evidence that your company is a viable business. This may include, but is not limited to, a certified copy of your company's business documentation, tax certificates or other information that would demonstrate that the visit is reasonable relative to your company's size and business interests.
• If you, or any other member of your delegation, have previously applied for a visa, please provide details of when the application was lodged, the class of visa applied for and whether the application was approved or refused. If you have had a previous unsuccessful application please provide a statement of your understanding of the reasons for the application being denied.
• A copy of the front page of your passport containing your personal information such as name, date of birth etc.
• If you have a dependent spouse or child applying to travel with you, please submit evidence of the relationship between you.
Applicants under 18 years of age must provide the following additional documents:
1. Documentary evidence of child’s relationship to his/her parents, such as a birth certificate or notarial certificate of relationship, and a copy of marriage/divorce/death certificate if applicable (the divorce certificate should show the custody arrangements for children);
2. Signed consent for travel from non-travelling parent/s, preferably using Form 1229 - Consent form to grant an Australian visa to a child under the age of 18 years; contact details for non-travelling parent (including address and telephone numbers); a copy of that parent’s ID; and
3. Evidence of child’s enrolment in school.
Health Requirements
• Any applicant may be required to undergo a medical and/or chest x-ray if their health is deemed relevant to the grant of a visa.
• If you are required to undergo a medical and/or chest x-ray (if you are over 11 years of age), we will request you to do so during the course of processing your application. These checks must be undertaken by an approved panel doctor.
