Introduction

Please read through this checklist carefully, as it details the types of documents you will be required to provide in support of your Student Visa application. It is important that you are able to complete as many of these requirements as possible prior to lodging your application, as this will ensure your application is processed without unnecessary delay. Please note that this checklist refers to a number of documents that are specific to Mongolia, as it assumes that the applicant is a Mongolian citizen.

When organising required documents please have regard to the following:

• We only accept notarised/certified copies of official documents – this includes bank documents. In Australia, copies must be certified by a Justice of the Peace or Registered Migration Agent or a person before whom a Statutory Declaration can be made under the Statutory Declarations Act 1959 as a true copy of the original. In Mongolia, copies must be notarised by a Public Notary. Please do not send us original documents.

• Original notarised copies of documents are required for visa applications. Photocopies of a notarised certificate are not acceptable.

• Documents in languages other than English must be accompanied by an English translation. In Australia, translations must be performed by a NAATI (National Accreditation Authority of Translators and Interpreters) accredited translator. In Mongolia, translations must be performed and notarised by a Public Notary.

What is a Public Notary?

There are approximately 25 Public Notaries across Mongolia that generally operate as part of the local aimag administrations. A Public Notary’s roles include:

• Notarising the authenticity of signatures, translations, copies of certificates, and photocopies with originals; and

• Notarising facts that amount to civil legal acts such as birth, death, marriage, divorce, kinship, identity and qualifications, and the issuing of the relevant Notarial Certificate - including “Certificates of No Criminal Conviction”.

General Documentary Requirements

Visa Application Charge;

Form 157A Student Visa Application - fully completed in English and signed by the applicant.

Form 54 Family Composition - fully completed in English and signed by the applicant.

Form 956 Appointment of a Migration Agent - fully completed in English and signed by the applicant.

• One photocopy of the biodata page of the passport of each person included in the application.

• If your correspondence address is located in Mongolia, four completed self adhesive name and address labels in Mongolian script. Please include a contact phone number on the label.

• Two passport sized photographs, not more than six months old, of each person included in the application;

• If you have a spouse, please provide a notarised copy of your original Marriage Certificate and a notarised English translation of your Marriage Certificate. For recent marriages and de facto relationships, additional supporting documents should be provided attesting to the genuineness of the relationship.

Applicants who have children:

• For each of your unmarried children who are under 18 years old, including those who are not included in the application, please provide notarised copies of your children’s original Birth Certificates and notarised English translations of Birth Certificates, showing the names of each of the parents.

• For each of your children who will also be travelling to Australia and who have turned 5 years old or will turn 5 years old in Australia, please provide an original Letter of Offer from the Australian school which that child will be attending.

• For each of your children who are included in the application, who have not turned 18 years old yet and whose other parent will not be living in Australia, please provide a completed Form 1229 Consent form to grant an Australian visa to a child under the age of 18 years for each child and a notarised copy of the original non-travelling parent’s identification card and a notarised English translation of the non-travelling parent’s identification card.

Applicants under 18 years of age:

• If you are under 18 years of age and/or if your parents are involved in providing financial support for your studies, a notarised copy of your original Birth Certificate and a notarised English translation of your Birth Certificate, showing the names of each of your parents.

• If you are under 18 years old and will not be living in Australia with at least one parent or legal guardian, you will need to show evidence of adequate welfare when you lodge your application. Please provide:
1. a Confirmation of Appropriate Accommodation and Welfare (CAAW) letter from each of your education providers who will organise your accommodation, support and general welfare in Australia; OR
2. a completed Form 157N Nomination of a student guardian nominating a relative who is resident in Australia and is over 21 years of age. Also include:
a. notarised Birth Certificates and legal documents in evidence of each link in the relationship; AND
b. original penal certificate(s) from each country the nominated relative has lived in for more than 12 months in the last 10 years.

Please note: A relative eligible to be nominated as a carer includes a brother, sister, grandparent, aunt, uncle, niece, nephew, step -parent, step-brother, step-sister, step-grandparent, step-aunt, step-uncle, step-niece, or step-nephew.

• If you are under 18 years old, please provide:
1. a completed Form 1229 Consent form to grant an Australian visa to a child under the age of 18 years signed by both your parents/guardian; AND
2. a copy of each of your parents' identification cards.

Educational and English Requirements

• Original Letter of Offer from each Australian education provider at which you propose to study - this must be submitted for the application to be valid. Each offer letter should indicate your proposed entry level, course name, CRICOS course and provider codes, proposed start and end dates and the full tuition fees for the course. Note that if an English language course is a requirement of the visa category and no Letter of Offer for such a course is provided, the application will be refused.

• A notarised copy of your formal education qualifications and a notarised English translation.
- Under subclass 571, this must include a Year 9 graduation certificate
- Under subclass 572 this must include a Year 12 (or equivalent) graduation certificate
- Under subclass 573 this must include either a Year 12 (or equivalent) graduation certificate, or, evidence of completion of Year 11 (or equivalent) plus evidence of enrolment in a one year foundation course in Australia or completion of a one year foundation course in Australia.
- Under 574 this must include evidence of an undergraduate degree (or equivalent)

• If you are applying to attend a secondary school, a notarised copy of an original letter from your current school showing your year level and class and a notarised English translation.

• A copy of your IELTS test report form (the test must have been taken within 2 years before the date of application lodgement), if evidence of an IELTS test score is required. This must be submitted when you lodge your application. Please note that TOEFL scores are not acceptable. Financial Capacity

• Evidence that you have adequate funds from an acceptable source (see below) that are sufficient to cover travel, tuition and living expenses for yourself and your dependents for the duration of your stay in Australia.

• Any individual providing financial support for your studies must provide a notarised English translation of a work reference from their current or most recent employer that details the position(s) held, salary, any other employment based forms of income (bonus, dividends or allowances), and dates of employment with that workplace.

Acceptable Sources of Funds

Student Loans
• A student loan from acceptable financial institutions is an acceptable source of funds. Student loan agreements MUST specify:
- That the loan is in the name of the applicant or support person; AND
- The amount provided; AND
- That the loan period that covers the “designated period”

The designated period under all subclasses (except 574) is the lesser of:
a. 2 years, or
b. the full period of the proposed courses of study.

The designated period under subclass 574 is the lesser of :
a. the period of any preliminary courses plus 12 months, or
b. the full period of the proposed courses of study.

Please provide:
- A notarised copy of the original loan agreement; AND
- A notarised English translation of the above agreement

Money Deposits
Any individual can provide funds in the form of a money deposit to support your study. To qualify as acceptable funds, the money deposit must have been held in a recognised institution by you or an individual supporting you for the required period of time.

• With the exception of 574 applicants, all Mongolian student applicants must demonstrate evidence that the required funds have been held in full for the three consecutive months immediately before the date of application lodgement.

For example, if AUD30,000 is required to meet adequate funds requirement, the evidence should show that an amount of AUD30,000 or more has been held for the entire three consecutive months before the date of application.

Please provide:
1. Notarised copies of Certificate of Deposit that show funds are available and were held by the bank at time of application; AND
2. Notarised copies of related bank passbooks and/or bank deposit slips.

Please note: Interest slips alone are not considered to be acceptable evidence of the size and duration of cash deposits.

Fully Funded Students
• Notarised English translation of evidence that you have sufficient financial support from either: your education provider; or, the Australian Government or the government of an Australian State or Territory; or, the national government of a foreign country; or, a multilateral agency.

Some examples of funds which are not acceptable:
Real estate ownership, motor vehicle ownership, shares, credit card bank accounts, and company sponsorship from a company that does not operate in the international arena.

Health Assessment

As you are going into a classroom situation, you will be required to undertake an x-ray and medical examination. You may elect to undertake your medical examination prior to lodging your application. If health examinations are required and have not otherwise been undertaken, our office will contact you about this during application processing. Once contacted by our office, you should make arrangements to attend an approved immigration panel doctor (it is recommended that you telephone the panel doctor to confirm whether or not an appointment is necessary). If there are children under the age of 13, they will not be required to have an x-ray.

You should ensure that you bring the following documents to your appointment at the panel doctor:

1. Form 160 Radiological report on chest x-ray of an applicant for an Australian visa (for applicants aged 11 years or over);
2. Form 26 Medical examination for an Australian visa (for applicants under 11 years old);
3. Applicant's current passport (or photographic ID if no passport available);
4. Two passport-sized photographs per applicant; and
5. Copy of the letter from the Visa Office acknowledging the lodgement of your visa application.

After you have undertaken your examination, our office will contact you should any follow-up action be required. If a medical issue is identified and follow-up is required, the process may take several weeks to a number of months to complete. Character Requirements

Everyone who wishes to enter Australia must be assessed against the character requirements. For the Australian Government to determine whether you are of good character, you may be asked to provide penal clearance certificates for each country you have lived in for 12 months or more over the last 10 years since turning 16. These certificates are also known as a police certificate in some countries. If you are applying a Student Guardian visa and you are not a parent of the student applicant, you will need to submit original penal clearance certificate(s) with your application.
