2. Checklist - Study Tours

Introduction

Please note the following important points when putting your application together:

• Copies of documents are sufficient, but originals may be requested for verification. Chinese documents are acceptable, however it is preferred that the documents are accompanied by English translations.

• All supporting documents must be clear and legible.

• We expect you to advise us of any changes to the information you have provided as soon as the change happens. For example, changes to the travel itinerary or homestay arrangements.

• We expect you to keep your contact with this office to a minimum to allow processing of your own and other applications to proceed as quickly as possible.

• Applications that do not include all the documents requested above are unlikely to be processed within the standard processing time, and applications containing false or misleading information will most likely be refused.

• Please place the visa application forms and the passports in relation to each applicant in the same order. 

Applicant Requirements

The following should be provided by each applicant:

• A completed application Form 48RCHS – Application to Visit Australia for Tourism or Other Recreational Activities completed in English and signed by the applicant; 

• A completed Form 54 - Family Composition completed in English and signed by the applicant; 

• Passport sized photo affixed to Form 48R (CHS);

Application fee

• A consent letter signed by both parents for each applicant under 18 years (A template is available from our office or from www.china.embassy.gov.au). If there is only one custodial parent then either copy of divorce document confirming custody arrangements or death certificate for other parent;

• Evidence of relationship between the applicant and their parents (if the applicant is under 18 years of age). This may be either by providing a Notarial Certificate of Relationship or Birth Certificate;

• Full household registration book (hukou ben) copy;

• A copy of both parents’ National ID card or passport; and

• Evidence of funds (can be individual or parental, however if parental funds are submitted, evidence of parental relationship must be provided).

Australian School/Institution Requirements

The following should be provided by the Australian school or institution:

• Invitation letter from the institution in Australia providng full contact details of onshore inviter (including during Australian school holiday periods);

• Background information on the Australian institution (if not previously known to this office);

• Any study tour contracts signed between Australian school and Chinese school;

• Name list of students and staff who will be travelling, and which school they are affiliated with;

• Detailed itinerary including: dates (day by day: morning, afternoon and evening activities) confirmed by host school;

• Flight bookings; and 
 

• Details of accommodation arrangements. If homestay we require full names, address and day-time telephone number of the host parent(s). Please ask your inviting school to provide this with your application at the time of lodgement in our office. Please note that this office may contact homestay families directly to confirm accommodation arrangements. If in commercial accommodation, such as a hotel, then the hotel's address, telephone number and evidence of confirmed reservations.

Chinese School/Institution requirements

The following should be provided by the school or institution in China:

• A letter confirming that each applicant is enrolled at their institution and that each applicant is expected to return to studies upon completion of the study tour;

• Full contact details of the school principal (including during Chinese school holiday periods); and 

• Contact telephone number, fax and cell phone and after hours details of organiser in China.

Health Requirements

If you are required to undertake an x-ray and/or medical examination, our office will contact you in relation to this after you lodge your application. Once contacted by our office, you should make your own arrangements to attend an approved immigration panel doctor. For detailed information, please see Health Requirements.

After you have undertaken your health examination, our office will contact if any follow up action is required.
