VACANCY – Human Resources Assistant - Level 5
The Australian Embassy in Beijing is seeking expressions of interest from suitably qualified persons to fill the position of Human Resources Assistant Level 5. This position is full-time. The annual salary for the position is RMB137,950 plus employer social security contribution.

JOB DESCRIPTION
HUMAN RESOURCES ASSISTANT
(LE5 POSITION 9302)
1. Under general direction, undertake clerical/administrative work in the Human Resources Section of the Embassy and assist Human Resources Manager to implement Human Resource Management principles and processes. Responsibilities include:
• Within guidelines, apply the rules, regulations, instructions and procedures relating to the Human Resources functions.
• Prepare and maintain the DSB staff induction manual for new staff. Ensure the manual is routinely updated.
• Maintain DSB staff personnel files in the Embassy’s electronic filing system and ensure files are kept up-to-date.
• Provide routine and regular HR reporting (such as End of Month Report, Overseas Staff Profile, Leave Balances, etc) in a timely and accurate manner.
• Undertake routine DSB staff personnel functions, such as processing leave, higher duties, overtime, personal accident insurance, etc.
2. As system operator, ensure the effective operations of the IPL computerised personnel, payroll and leave system for DSB staff.
• Process DSB staff payroll and social security contributions in a timely and accurate manner.
• Maintain an accurate record of DSB staff leave and attendance.
• Maintain and update DSB staff personnel information.
3. Act as Executive Assistant to the Consul General. Provide support with secheduling appointments, diary management, assisting with managing incoming and outgoing correspondence, assisting the representational activities, etc.
4. Perform other duties as directed.

A. Ability to understand and carry out administrative processes using computerised systems and to prepare and maintain records within such systems.
B. An awareness of the Australian Government acts, regulations and guidelines, relevant to the performance of the duties outlined in the duty statement.
C. Ability to communicate effectively, orally and in writing, in English and Chinese in a professional and helpful manner.
