VACANCY – Passport/Consular Assistant Level 5

The Australian Embassy in Beijing is seeking expressions of interest from suitably qualified person to fill the position of Passport/Consular Assistant level 5. This position is full-time.

Passport/Consular Assistant (LE5)

1. Perform the role of Passports and Consular Assistant in the Embassy’s Consular Section, in accordance with Australian Government policy and procedures.

2. Provide timely and courteous assistance to clients at the counter and by telephone and email in the provision of passport and consular services, including facilitating passport applications and notarial services.

3. Assist with the Consular workload as required including on individual consular cases, and following relevant policy, procedures and legislation (e.g. Consular Handbook, Privacy Act, etc).

4. Liaise at appropriate levels with various Chinese organisations/officials relevant to the consular functions. Translate various documents sent to/from various Chinese organisations or other missions in relation to consular issues.

5. As a sub-cashier, collect fees for passport and consular services, adhering to financial management policy and procedures.

6. Provide back up to passport/consular officers during periods of absence

7. Provide support where possible in translation and interpretation requirements relating to passport and consular services.

SELECTION CRITERIA

A. Demonstrated ability to deliver high quality services to clients, both external clients and clients within the Embassy, including an understanding and caring approach in responding to the problems encountered by Australians overseas.

B. Demonstrated ability to undertake administrative processes using a range of computerised systems. Ability to prepare and maintain spreadsheets, correspondence and other electronic documents within such systems as required.

C. The ability to learn, understand and apply Australian and local laws and regulations as well as Embassy procedures and guidelines relating to Passport and Consular work.

D. Initiative, flexibility, adaptability; and ability to co-operate in a team based work unit and effectively manage workload to meet deadlines.

E. Ability to communicate effectively orally and in writing in English. Ability to communicate effectively orally and in writing in Mandarin would be an advantage.
