Two Vacancies – LE8 & LE6 (PN8843 & PN8813)

The Australian Embassy is seeking expressions of interest from suitably qualified persons to fill the positions of Business Manager, LE8 (PN8843) and Interpreter/Works Co-Ordinator, LE6 (PN8813) in DTZ. Annual remuneration for Business Manager (PN8843) position is RMB222,080 (plus employer social security payments) or a salary equivalent for an expatriate, and annual remuneration for Interpreter/Works Co-Ordinator (PN8813) position is RMB161,155 (plus employer social security payments).

JOB DESCRIPTION
Post: BEIJING Level: LE 8

Position: Business Manager (P.N. 8843)


1. Staffing: In accordance with Equal Employment Opportunity and Industrial Democracy principles, provide direct supervision to support staff and under general direction, co-ordinate activities of technical staff. Provide support in the staff interview and selection process. Under limited direction co-ordinate staff development programs and present training of a non-trade nature.

2. Administration: Provide self-directed co-ordination of Property Group purchasing. Assist with maintenance progress and cost inquiries. Provide administrative and keyboard support as required. Maintain the electronic and hardcopy library services. Define and co-ordinate administrative requirements of special projects implement and monitor project progress.

3. Computerised Property Maintenance Management: Under general direction provide systems supervisor / operator support for Maintenance Management System and associated hardware. Undertake daily keyboard entry, routine system maintenance and development of systems program and procedures. Liaise with agencies and prepare invoices and reports. Provide staff with keyboard training.

4. Finance: Under limited direction and within broad guidelines establish financial estimates and budgets. Maintain electronic and manual budget and expenditure records and reports. Liaise with agencies on expenditure cost recovery if required. Maintain cash advances and process purchase orders.

5. Property: Liaise and negotiate, independently or as a team member, with Australian government agencies, local authorities and property representatives on property issues.

6. Policy: Under general direction, independently or as a team member, develop and implement operational policy and procedures in relation to property management and maintenance.

SELECTION CRITERIA - P.N. 8843

A. Sound working knowledge of computerised and manual management information systems and their application in an administrative context. Demonstrated ability in the use of computers is essential.

B. Interpersonal skills of a high order, including the ability to effectively supervise, co-ordinate and develop individuals and teams as well as work as a team member to thoroughly and effectively achieve objectives in accordance with Equal Employment Opportunity and Industrial Democracy principles.

C. Ability to communicate to a high standard both orally and written and to assist in negotiation and liaison.

D. Working knowledge and experience with computerised systems. Knowledge of spreadsheet and Portal software systems an advantage.

E. Demonstrable experience and ability in the preparation of financial records and budgets.

F. An understanding of property management and maintenance principles (as they apply to the job description). Experience in property leasing and tenant management an advantage.

G. An appreciation of work types associated with various trade disciplines.


JOB DESCRIPTION
Post: BEIJING Level: LE6

Position: Interpreter / Office Co-Ordinator (P.N. 8813)

1. Staffing: In accordance with Equal Employment Opportunity and Industrial Democracy principles, provide language assistance and direction to technical staff. Under general direction, allocate and co-ordinate job activities to technical staff and the storeman/driver.

2. Administration: Undertake oral and written translation as required. Provide administrative and keyboard support as required. Maintain stationery and office supplies. Uphold Occupational Health and Safety requirements when work is carried out within Australian Government owned premises.

3. Computerised Property Maintenance Management: Under general direction cost and close off repair jobs using a Portal entry system. Generate and print off the monthly maintenance jobs and to ensure all paperwork is completed in an accurate and timely manner.

4. Finance: Under direction from the Facilities Manager provide assistance with the purchasing of goods and services for the approved tasks and prepare payment documents.

5. Property: Under direction, liaise and negotiate, as a team member with local authorities and property representatives on property issues when language assistance is required.

6. Policy: Under general direction, independently or as a team member, implement operational policy and procedures in relation to property management and maintenance.
